Recurring subscription plans
How to create your fan club, set up monthly plans or an annual plan paid upfront by card, configure benefits, and understand billing, retries, refunds and member management from the dashboard.
With subscription plans, your organization runs a fan club: fans subscribe to a plan, pay by card through your own Asaas account (the same gateway you already use to sell tickets), and get member benefits in return — at launch, a percentage discount on your events that stacks with coupons. For a dance school, for example, the plan price can simply be the school's monthly fee.
Fans can pay in two ways: monthly (one charge a month) or, if you offer it, through the annual plan paid upfront by card — 12 months at once, split into installments, with a discount.
What you need before starting
- A validated payment gateway under Integrations › Asaas (check it on Payments) (the same prerequisite as publishing paid events). Charges land directly in your Asaas account.
- Card tokenization enabled on your Asaas account. Tokenization is an Asaas security feature: it keeps the fan's card safely stored, so monthly fees can be charged without the fan typing the card in again. It's not turned on automatically, and Baila can't turn it on for you: you request it from Asaas by email, once your Asaas account registration has been approved. The Frequently asked questions section at the end of this page has the step-by-step and a ready-to-send email template.
- The fan club permission on your team role: owners and admins have everything; the Manager role can set up the club, plans and benefits and view members. Refunding an annual plan from the dashboard requires the subscription-management permission (owners and admins).
Ask Asaas for tokenization before you open subscriptions. For monthly fees to be charged month by month on the fan's card, without compromising their card limit, tokenization must be active on your Asaas account. According to Asaas's official guidance:
- The request can only be made after your Asaas account registration is approved. If it's still under review, wait for that step first.
- Email [email protected] with the subject
Ativação de tokenização, from the same email address you use to log in to Asaas. If you send it from another address, include the account's CNPJ and login email. - In the email, answer Asaas's questions about your business (see the template under Frequently asked questions).
Creating the fan club
In the dashboard, open the Fan club area:
- Create the club — name, description and visibility:
- Public: the club shows on your organizer page in the portal.
- Unlisted: the club doesn't appear on the page but works normally via its direct link — use the dashboard's copy link button to share it anywhere (Instagram bio, WhatsApp group, etc.).
- Create plans — name and monthly price (e.g. "Gold — R$ 99.00"). You can keep several active plans.
- Create benefits — at launch, a discount on your events with a percentage you choose (e.g. 10%). The benefit applies to every event of your organization while the membership is in good standing — in the portal it reads "10% off your organization’s events".
- (Optional) Offer the annual plan — under Billing methods, see the section below.
Annual plan paid upfront by card
Under Fan club → your club → Billing methods, turn on Annual plan paid upfront by card and set:
- Annual commitment discount — 0% to 50%, applied to 12 monthly fees.
- Installments the member can choose — 3×, 6×, 9× and/or 12× (only 12× by default). Pick at least one.
A price preview shows, for each active plan, the monthly price, 12 months without discount, the discount and the final annual amount for every installment option — exactly what the fan will pay.
Example: a R$ 99.00/month plan with a 10% discount → 12 × R$ 99.00 = R$ 1,188.00 − R$ 118.80 → R$ 1,069.20, as 12× R$ 89.10 (or 3× R$ 356.40).
How it works for the fan and for you:
- Interest-free for the fan: you absorb the installment interest. Your gateway's installment fee is deducted from your payout, on top of Baila's fee. The full amount uses the fan's card limit.
- Valid for 12 months from confirmation and not renewed automatically: no monthly charge is ever generated for a member who paid for the year. At the end of the term, the membership ends and the fan gets an email with a link to renew (monthly, or another discounted year).
- Declined card: the fan sees the decline right away and can retry with another card — the annual plan never goes through automatic retries.
- Changes apply to new subscriptions: turning the annual plan off or changing the discount doesn't affect members who already paid for the year. Current monthly members stay monthly.
- The gateway enforces a minimum per installment (R$ 5.00 on Asaas); options below it are struck through in the preview and not offered to fans.
How the member discount works at checkout
The member discount stacks with coupons, in this order: coupon first, then the member percentage on the remainder.
Example: a R$ 50.00 ticket + a 10% coupon + a 10% member benefit → R$ 50.00 − R$ 5.00 (coupon) = R$ 45.00 → −10% member (R$ 4.50) → total R$ 40.50.
Buyers see the discount itemized at checkout (portal and app). Monthly and annual members get the same benefit. Your ticket revenue split is calculated on the final amount paid.
Unlimited classes with recurring events
If your classes are recurring events, the discount benefit automatically covers every date of every series — it belongs to the whole organization. A 100% benefit works as an unlimited classes plan: a member in good standing picks the date and completes the order without paying. The discount cannot be limited to one specific series.
How monthly billing works
- Payment method: credit card with secure tokenization (Pix for subscriptions shows in the dashboard as "coming soon").
- First charge: at subscription time. The new member's status stays Pending until the payment is confirmed — benefits only apply after confirmation (the annual plan too).
- Renewal: every month on the same day the fan subscribed (a member who subscribed on the 31st is billed on the last day of shorter months).
- Declines and retries: if the card is declined on renewal, Baila automatically retries at +1, +3 and +5 days. Once retries are exhausted, the membership becomes Past due and the member gets an email asking them to update their card.
- Suspension: after 7 days past due without payment, the membership is suspended and benefits stop. If the member updates their card and the charge succeeds, it reactivates immediately.
- Cancellation: self-service for monthly members, effective at the end of the paid period — benefits remain until then and no further invoice is generated. A paid annual plan can't be canceled by the fan; see Refunds below.
Baila's fee on subscriptions
Subscriptions carry their own fee, separate from the ticket fee: by default, 0.5% of each charge (the monthly fee or the annual amount) via an automatic split. The exact rate applied is recorded on every invoice — fee changes never rewrite past charges.
Refunds
- Annual plan: under Fan club → Members, use Refund on the member's row. The refund goes back to the fan's card across every installment, the membership ends immediately and its benefits stop. If you refund from your Asaas account instead, Baila receives the gateway's notice and ends the membership the same way.
- Monthly charge: from your Asaas account (the refund shows on the invoice). Refunding a monthly charge does not cancel the membership automatically — cancel it too if that's the intent.
- Fees already charged by the gateway may not be returned.
Tracking your members
Under Fan club → Members you can see:
- The member list with status filters (Active, Pending, Past due, Suspended and Canceled), each member's billing (Monthly or Annual · 12×) and, for ended memberships, the reason (Canceled by the member, Ended — annual plan completed or Refunded).
- Each member's invoice history, including every charge attempt with the decline reason returned by the card network — handy for guiding the member ("expired card", "insufficient funds", etc.) — and, for refunds, when and by whom they were made.
Frequently asked questions
How do I ask Asaas to enable card tokenization? By email, following Asaas's official guidance:
- Make sure your Asaas account registration is approved. While it's still pending approval, Asaas won't open a tokenization request.
- Email [email protected] with the subject
Ativação de tokenização("Tokenization activation"), from the same email address you use to log in to Asaas, so your account is identified automatically. If you use another address, include the account's CNPJ and login email in the message. - Answer Asaas's four questions in the body of the email: why tokenization is essential for your business; how your business works (what you offer, how it's delivered and how customers pay); whether you issue invoices (nota fiscal) or use contracts with your customers (and, if you use contracts, whether they allow price changes, attaching a template if possible); and a public link for your business (website, Instagram or another social network).
Use the subject Ativação de tokenização and copy this template into the body of the email (Asaas works in Portuguese), filling in the parts in brackets:
4. Link de divulgação da empresa:
[site, Instagram ou outra rede social]In English, the template says: "Hi! I'd like to request credit card tokenization on my Asaas account. CNPJ: […] / Account login email: […]. 1. Why is tokenization essential for the business? I use Baila to sell tickets and recurring subscriptions (fan club / monthly fees) by credit card, with charges landing in my Asaas account. Tokenization lets the monthly fee be charged to the customer's card every month without them typing the card again, charging month by month instead of asking for the whole year at once. 2. How does the business work? [what you offer, how it's delivered, how customers pay] 3. Do you issue invoices or use contracts with customers? [and whether contracts allow price changes; attach a template if possible] 4. Public link for the business: [website, Instagram or other social network]."
You only need to ask once. After Asaas enables it, there's nothing else to set up in Baila.
Can I have more than one club or plan? Yes. Unlimited plans per club; deactivate a plan at any time (existing members keep it until they cancel or their annual term ends).
What happens if I change a plan's price? Only new subscriptions use the new price. Existing members keep paying the price from when they subscribed.
Can a monthly member switch to the annual plan? Not directly for now: the annual plan is chosen at subscription time. A member whose membership ended or was canceled can subscribe again and pick the annual plan.
Does the annual discount apply to every plan? Yes. The discount and installment options belong to the club and apply to all active plans.
Does a past-due member still get the discount? Yes, during the 7-day grace period (Past due status). Once suspended, the discount stops immediately.
How does a suspended member pay again? They update their card in the Fan club area of their portal account; the open invoice is retried right away and, once approved, the membership reactivates.
Do non-members ever see the discount? No. Visitors and pending/suspended/canceled memberships get no discount.
