How to import attendees who paid outside Baila

Register people who paid in cash or by other means, e-mail them their QR codes, and check them in as usual.

Sold tickets in cash, by bank transfer, or through a friend? You can register those people on the event so they receive their QR codes by e-mail and go through the door like any other buyer. Import one person at a time or a whole list from a CSV.

Imported tickets are worth 0 on Baila: there is no charge, fee or payout — the money already went through you. They take up capacity in the lot as usual but do not count as revenue in reports.

Where it lives

On the event page, in the Import attendees section (right above Orders). It is shown to Owner, Admin, Manager and Box office.

Import one person

Pick the Individual tab and enter the name, e-mail, the lot and the quantity of tickets (up to 10 for the same person).

Pick the e-mail language (Portuguese or English) and click Import.

Done: the order shows up in the Orders list flagged Imported, and the person receives one e-mail with every QR code attached.

Import a list (CSV)

On the CSV tab, click Download template. The columns are name, email, lot and quantity (quantity is optional; without it each line is 1 ticket). The lot is the lot's name as shown on the event.

Fill the sheet in Excel, Google Sheets or Numbers and export it as CSV. ; or , separators, accents and quotes all work.

Upload the file. You get a preview with the valid lines and the errors (invalid e-mail, unknown lot, repeated e-mail…). Lines with errors are not imported — fix and upload again, or use Download rows with errors.

Click Import. Large lists are processed in the background; follow the progress in the section's history. Limit: 500 lines per file.

What the person receives

A single e-mail with:

  • the QR codes of every ticket attached (one file per ticket, numbered);
  • the event details (date in the event's time zone, venue and lot);
  • an Activate my account button, to create a password and see the tickets in the app or on the site — no need to keep the image;
  • the app links on the App Store and Google Play.

If the e-mail already has a Baila account, the tickets go straight into it and the button becomes Open my tickets.

Until the person activates, they exist on Baila only as an account pending activation: no password, no confirmed e-mail and no accepted terms. They can only sign in after activating through the link (a sign-up or a “forgot password” with that e-mail re-sends it) or signing in with Google.

At the door

Nothing changes: the scanner reads the QR code from the e-mail or the app, and the manual search finds the person by the name or e-mail you typed. If the door app is offline, sync it after importing.

Resend, fix or cancel

  • Resend e-mail: in the section's history, per person. A new activation link is generated on every send (up to 5 sends per person).
  • Sold-out lot: the line fails with "Lot sold out". Raise the lot's quantity and click Retry.
  • Cancel an import: in the Orders list (or in the section's history), use Cancel on the imported order. The tickets are revoked and the capacity returns to the lot. Baila does not e-mail the person — the QR codes they received simply stop working at the door, so let them know.

Consents

If the event requires consents, buyers on Baila accept them at checkout. Imported attendees leave no acceptance evidence on Baila — the section warns about this. If you need that record, collect it yourself at the time of the sale.
